We only process personal data for clear and legitimate purposes and based on the association’s legitimate interests. We only process personal data that is relevant and necessary to fulfill the stated purposes, and we delete information when it is no longer needed - or when we are asked to do so.

Membership information:

  • Contact information such as name, address, gender, date of registration, telephone number, membership number, date of birth, and email address.

  • Contact information such as addresses, telephone numbers, and email addresses, CPR numbers, and information about positions of trust and other roles related to the association.

To coordinate and manage volunteers’ tasks within the association.

To maintain an overview of and develop volunteers’ experience and skills, including offering courses and competence development.

To reimburse transportation and travel expenses, refunds, and similar.

To manage your relationship with the association.

To comply with legal obligations.

 

Processing Based on Legitimate Interests

Where we process your membership data, this is solely based on the association’s legitimate interests, including:

Managing your membership rights (e.g., at the general assembly) according to the association’s statutes.

Ensuring you can fulfill your obligations as a member, including paying membership fees.

Planning and holding social events and activities.

Planning and holding professional events.

Displaying situational photos from specific activities or events.

Preserving information of historical value for statistics and similar purposes.

 

Consent

When we process information about you, this is only done based on your active consent when required. We only obtain your consent when necessary for processing personal data for the purposes described above.

Giving consent is voluntary, and you may withdraw it at any time by notifying us.

When collecting personal data about children and young people under the age of 18, we assess whether the child is capable of providing such information. If not, we obtain consent from a parent.

 

Disclosure of Personal Data

We do not disclose your personal data to parties outside the association without your consent.

 

Recipients of Personal Data

We use external data processors for sending newsletters, registering event participants, and contacting you via SMS. We use the following processors: MailChimp, NemTilmeld, one.com, InMobile, WIX and Visma e-conomics.

- MailChimp is based outside the EU/EEA. Therefore, Nyt Europa has entered into a data processing agreement with MailChimp, and any transfer of personal data is safeguarded through the European Commission’s Standard Contractual Clauses (SCCs), in accordance with Article 46 of the GDPR.
 

- Nyt Europa has entered into a data processing agreement with NemTilmeld to ensure your information is handled according to GDPR principles when you register for an event.

- Nyt Europa has entered into a data processing agreement with one.com to ensure your data is processed in accordance with GDPR principles when you use Nyt Europa’s website or communicate by email. One.com manages Nyt Europa’s email and website system.

- Nyt Europa has entered into a data processing agreement with InMobile to ensure your information is handled according to GDPR principles when we contact you by phone.

- Nyt Europa has entered into a data processing agreement with WIX to ensure your information is processed according to GDPR principles when you use the website or register for events.

- Nyt Europa has entered into a data processing agreement with Visma e-conomics to ensure compliance with GDPR principles if you are a paying member or use Nyt Europa’s webshop.

 

Storage and Deletion of Personal Data

Storage periods depend on whether you are a member, volunteer, or event participant.

Members:

Personal data is stored as long as membership criteria are fulfilled. When membership ends, data is stored in accordance with bookkeeping legislation for up to 5 years plus the current year.

Volunteers:

We delete your data no later than six months after your voluntary work ends, unless otherwise required for membership processing.

Anonymous Storage:

We store anonymized information for statistics and similar purposes as long as it has historical value.

Only employees with a genuine need to access your personal data may do so.

 

Handling of Data Breaches

In the event of a personal data breach, we have internal procedures for quick identification, assessment, and handling. If the breach may pose a risk to your rights and freedoms, we will report it to the Danish Data Protection Agency within 48 hours. If it involves high risk, you will be informed directly. All incidents are documented.

 

Financial Transactions

Information about financial transactions is stored according to bookkeeping legislation for up to 5 years plus the current year.

 

Communication with Nyt Europa

When you communicate with us, we collect the information you provide, for example via email, such as your name, email address, phone number, and the content of your inquiry. This is done to provide the best possible service.
